Letting Service

Upon receipt of formal instructions to let your property our service will include:

Marketing

Where necessary this would include:

  • Preparing details and adding to our property availability lists for distribution to Interested parties and throughout our branch network
  • Circulating the details to suitable applicants registered with us
  • Sending the details to a large selection of companies and re-location agents
  • Advertising the property in the local papers

To Let Boards

Arrange for a 'To Let/Let By' board to be erected at your property unless otherwise instructed. We find that this provides excellent advertising for your property and can only compliment the marketing strategy.

Viewings

Accompany prospective tenants to view the property unless otherwise instructed. Advise you as soon as we receive a formal tenancy application.

Tenant Selection

Interviewing and obtaining necessary references on prospective tenants. Where necessary, additional security would be requested by means of a guarantor.

Tenancy Agreements

Preparation and execution of an appropriate Tenancy Agreement and other legal documentation in accordance with current legislation.

Rent Transfer

Collect the first month's rent and bond deposit and account to you for monies collected less our fees and expenses due.

Charges

For the above service we charge a fee of 50% of the first month's rent plus VAT, which is deducted from the first month rental of any new tenancy.

Full Management Service

Should you appoint CHURCHILL to manage your property our services will include:

Tenancy Agreements

Prepare appropriate Tenancy Agreements and other legal documentation in accordance with current Housing legislation.

Rent Transfer

Collect the first month's rent and bond deposit (this to be held in our client account) and forward onto you monies received less our fees and expenses due.

Inventories

Arrange the preparation of an Inventory and take photographs where necessary. This is a highly specialised service and is strongly recommended prior to letting your property.

Utilities

We will contact the local authority and utility services to advise them of the change of occupancy.

Collection of Rents

We will collect on due dates, and forward it onto you less our fees or expenses incurred for the period. The rent is sent to the landlord in the form of a cheque/cash/bank transfer.

Security Deposit

Hold the tenant security deposit (Bond) for the period of the tenancy and subsequent extensions in a secure client account. Please note that this is not negotiable under any circumstances .

Visits

We will carry out property inspections three times per year, and if necessary, send you a full report of our findings together with our recommendations.

Repairs

Co-ordination of any major repairs or maintenance to your property up to pre-agreed limit and settlement of invoices from rents received. Your agreement will be sought for any expenditure in excess of £100.00 EXCEPT in cases of emergency.

End of Tenancy

Once you have engaged CHURCHILL to manage your property, you do not need to re-instruct us at the end of every tenancy.

Our Lettings Manager will review the rent and arrange further lettings of your property on an annual basis - with no need for further instruction.

Checking Out

Arranging for a full property inspection and Inventory 'check out' at the end of the tenancy. We will advise you of any maintenance recommendations.

Return of Deposits

Agreeing any possible dilapidations (over and above fair wear and tear) with the tenants before releasing their deposits.

Dilapidations

If necessary, arranging for cleaning, garden maintenance and any minor repairs after the Inventory 'check out' and deducting costs from the tenant's deposit where applicable.

Rent Arrears/Legal Action

Whilst we will carefully monitor rental payments, it can sometimes occur that tenants, for a variety of reasons, fall behind with the rent or in some way breach the other obligations of the Tenancy Agreement.

If it becomes necessary to take legal action to obtain payment of arrears or re-possession of your property, you will be responsible for instructing your Solicitor and for all fees owing.

Charges

For the management service we charge 9% plus VAT of the rental received. In addition to this we charge 50% of the first month's rent plus VAT to set up the letting of the property.
